Roles and Responsibilities
All Admin work. Arrange accommodation, travelling and food for trainees and trainers, Handling All admin related Expenses, Assuring all expenses are under budget procurements vendor selection vendor relations, building quotes collection, purchase goods and verify all bills.
*Procurement -Responsible for procurement of office supplies and stationery, Organize venue for large meetings, staff / TB training programs, Organize food for employee meetings, training and visitors.
Procurement of assets such as office furniture, guest house furniture and fixtures, and supplies.
Procurement of services such as a vehicle, telephone etc.
Create a database of vendors for such procurements and as much as possible get into contracts for long term requirements.
*Logistics -Managing inter-district travel requirement for staff and visitors by having vendor for vehicle supply and contract.
Booking hotels for stay and travel tickets for visitors and employees.
*Guest House Management -Responsible for finding a location for the guest house, setting the guest house with furniture and fixtures.
Allotting rooms to visitors based on a request in the guest house.
Supervising the maintenance of the guest house.
*Office Management -Ensure offices of NGO are clean and tidy and all basic facilities are available for staff to work in a comfortable environment.
Manage dispatch and inward communication, postal, courier and maintain a register for the same.
Material distributions in the field.
Maintain staff movement register and follow up with locations and movement of staff, inform HRO in case of non-adherence.
Preparation and Manage of Weekly and Monthly Payroll.
Maintaining Expenditure against Budget lines.
Maintaining Office Files and Records.
Arranging all travel and accommodation arrangements for staff.
Desired Candidate Profile
Hold a graduate degree with a good University
Have a minimum of 2- 5 years of experience in handling Administration work.
Good knowledge of computer - Windows and Microsoft Office applications.
